Tips and Best Practice
We are providing this in the spirit of doing better business!
These tips have been collated from our observations and
feed-back from clients and agency staff. We are open to
suggestions on how we can improve this resource, and improve our
own service to YOU. The points are in no particular order.
The most important point to recognise is that responding in
the appropriate manner is CRITICAL and we recognise there are
many timewasters (clients of course - not you!). There is no shortcut , you have to be
committed to selling via the Internet. If you do not want to
make THE EFFORT, we suggest that you do not work with us or
other web partners!! There are some tips to help though and how
you can automate some processes - see
below...
PLEASE DO NOT BE AN AGENT WHO REPLIES TO A CLIENT - "PLEASE
SEE OUR WEB SITE!"
1) Respond to client requests within 24 hours. These are
"hot" leads and if the client does not receive a response within
24 hours they are likely to look elsewhere. The client wants to
be looked after and feel special whatever the budget! From our
own observations responding within hours often leads to QUICK
appointments.
2) Be courteous: Even a short email response saying that "We have received
your enquiry from our partner 1st for French Property and we
will be responding to you in full shortly." Quite often we
get emails from clients telling they have received nothing back!
3) Emails not getting to clients: Hotmail, aol and other
"free" email services are notorious for their spam filters. They
often filter out your replies if you are using one of these
"free" email address. If you have your own domain name - such as
sales@xxx-immobilier.com the problem does not occur!
Some things to check?
a) Use the return receipt facility within your email client -
you can tell if an email has reached its destination
b) Buy a domain name with email facility - this costs less than
£1 per month with
www.1and1.co.uk
c) Forward problem emails to us first, we can send them on for
you.
4) Relationship with us: Clients get confused over the relationship between 1st for
French Property and yourselves. Please in your email responses
say initially "We have received your enquiry from our partner
1st for French Property and ......"
5) Keep the property listings on our site
UP TO DATE. Clients
really hate it when they find a property has been sold some
months ago. Most of our agents update weekly. If you are using
our service to update the web site, Sebastian will happily email
you a list of your current properties on the web site. All you
need to do is tell Seb the ones that have been SOLD!
6) All newly added properties are added to the "What's New"
listings" - we can categorically tell you that the latest
properties get the best responses! Why? First all new properties
are emailed to our registered clients (over 6000), and second we can tell
that clients bookmark the What's New page and return to it
frequently.
7) Use templates - we have 75 templates that we use to
respond to clients. Some we use without any changes, and others
we use with modifications. Outlook allows use to use
"signatures" - these can be customised as templates very easily.

8) What to include in your replies? First state you are a
partner of 1st for French Property, introduce your company,
describe your location (give the client a "picture" of
location"), how you are wishing to help the client choose the
right property, the service you offer before and after the sale
(make the client trust you), answer the questions they ask. MANY
OF THESE RESPONSES CAN BE IN YOUR TEMPLATES (SEE POINT 7).
Clients really hate more questionnaires to fill in - if you must
use them please clearly state the purpose. Remember if they are
contacting a number of agents, and they ALL ask for
questionnaires to be filled in the client gets fed up! Who does
he choose to proceed with.... the agency who gives him the
personal touch. Our best agent rings the client to ask the
questions - it costs but it works!
9) Make contact with the client before they come to you. Our
best agencies ring the client and win the confidence of the
client even before they arrive. Try to make the client believe
that they should ONLY book appointments with you. Fill up their
time with property visits! Do not let them visit another Agency!
10) Please look after the client
- many have travelled many
miles to get to your agency. If they are visiting other agencies
- how will they remember you? Many client do not find the right
property on their first visit. GIVE THEM A REASON WHY THEY
SHOULD COME BACK TO YOU ON FURTHER VISITS. It may amaze you but
we get many emails back from clients who say that they have NOT
enjoyed the experience - please go that extra step!
11) PROPERTY DESCRIPTIONS: The Brits are use to extensive
property descriptions in the UK. They are NOT impressed by the
minimalist approach. Best responses are achieved by 5 photos and
complete property descriptions including the location of the
property. The most asked question - "Where is this property
located?" If you are determined not to add the Town / Village
please add the Post Code. This information is not seen but at
least the map link will give them an approximation of the
location. PLEASE TAKE CARE WITH THE PHOTOS - properties in
shadows do not work! All our property descriptions get into
Google - when clients are searching for a Town they will only
find your property if the town is in the property details!
12) The "Short Description appears in Listings" field that
appears on the template that you complete when adding a property
description is CRUCIAL! This description is what the client
first sees in our property listings. IT NEEDS TO SELL THE
PROPERTY. If you do NOT capture the imagination of the client,
they are not going to click to find out more about the property!
How many times do we see "Villa" as the enticement to click?
Would that make YOU want to find out more about the
property? How about "4 bed spacious villa with outstanding
views"? Is that more enticing?
13) What properties to add to our web site? We sell across
the whole range. But, of course, we sell more cheaper
properties. We suggest that you do put on a selection of
property for all price ranges. But do put on some cheapies!
Quite often, a client will come out looking for a cheap property
- then you can UPSELL to a better property with less work with a
cheap mortgage. Remember French mortgages are currently about
1.5% cheaper than the UK.
14) Feature Properties: If you have something special to sell, we are always
happy to feature it on the home page or one of the regional
pages or our TOP 10 FEATURE PROPERTIES.
15) Reduced Prices - we
promote our "Reduced Prices" page in Google and we get huge hits
to this page. If you have a property with a reduced price - all
you need to do to get the page featured on our reduced price
page is change the status to "Reduced Price". Our reduced price

16) Your Properties: Did
you know that we have a special url for EACH of you? So if you
want to reply in a letter and say "to see more of my properties
follow this link". The format of the link is

replace Agent with the agent name we use on the property
descriptions. For example, ClaudeC will become...

17) Photos: We added a
new section to the web site

So far, we have received over 10,000 hits to this section. Each
region has links to the properties. If you add photos, for each
photo you add you can place a link to your properties. You need
to register first which will allow you to logon and add photos.

NB Replace Agent with agent name we use for you on the web site.
This will lead to more exposure for your properties.
18) Forum: Our forum is
very busy now. Often 20 users online at any one time! The forum
is here:

Register, logon and you can add articles anywhere! We recommend
adding under "Regions & Departments" BUT be sure to add a link
at the end of the article to your properties. Format:

Again you will be surprised at how much traffic this will
develop. All the pages (i.e. articles) get into Google, and your
article will be found in Google very quickly after publishing.
